1. Booking, Scheduling, & Attendance
1.1. Session Validity & Usage Timeline
- Booked or purchased sessions must be consumed within 90 days of purchase.
- Unused sessions after 90 days will expire and be deducted from your wallet.
- Extensions may be granted in exceptional cases upon written request.
1.2. Session Rescheduling Policy
- Sessions must be rescheduled at least 24 hours in advance.
- Last-minute rescheduling (less than 24 hours’ notice) is not guaranteed and may result in the session being deducted from your wallet.
- Rescheduling is subject to practitioner availability. While we’ll do our best to accommodate your preferences, it cannot always be guaranteed.
1.3. Cancellation & No-Show Policy
- Cancellations made more than 24 hours in advance will not incur any deductions.
- Same-day cancellations (less than 24 hours' notice) will result in the session being deducted from your wallet.
- No-shows — when a child is absent without notice at least 2 hours prior — will result in the session being deducted in full.
1.4. Session Attendance & Punctuality
- Please ensure your child is on time for each session. Sessions will end at the scheduled time, even if started late.
- If your child is more than 15 minutes late without notice, the session may be considered a no-show and deducted.
2. Financial Policies
2.1. Preferred Payment Method
- We strongly recommend paying directly through the Lifestyle Portal for sessions rather than making outside payments (e.g., via InstaPay).
- Direct booking & payment allows for smoother scheduling, clearer documentation, and more efficient tracking for both families and practitioners.
- As such, payments through InstaPay will be subject to a 10% service fee.
2.2. Refund Requests
- Wallet top-ups are refundable only if no sessions have been booked or used from the credited amount.
- Refund requests must be made within 30 calendar days of the top-up date.
- After this period, unused balances are considered expired and not eligible for refund.
- Approved refunds may be subject to a processing fee of up to 10%. Refunds are processed within 14 business days of approval.
3. Confidentiality & Data Protection
At CIPPO, we take your family’s privacy seriously. All personal and developmental information shared with us is treated with the utmost care. We are committed to:
- Secure storage of all session notes and child records, accessible only to authorized staff.
- Sharing information only when necessary, and only with your assigned practitioner(s), CIPPO’s core team, or designated support staff.
- Never discussing cases in public or informal settings or in ways that could reveal your child’s identity.
- Only using photos or videos with your written consent, which you may withdraw at any time.
- Ensuring that confidentiality remains in place even after services end, including after a practitioner leaves CIPPO.

4. Health & Safety
- Please inform us of any allergies, medical needs, or behavioral concerns that could affect your child’s participation.
- Children with signs of contagious illness should not attend in-person sessions.
- Practitioners may decline to proceed if they believe there’s a health risk.
- Practitioners are not responsible for supervising children before or after the scheduled session.
5. Parent Guidelines
To maintain a respectful and productive environment for your child and our team, we ask that all families adhere to the following:
5.1. Environment & Distractions
- Please prepare a quiet, private, and distraction-free space for sessions, especially when held at home.
- Parents are welcome to observe but should do so without interacting directly unless invited by the practitioner.
- Practitioners may pause or end a session if the environment becomes too disruptive for meaningful engagement.
5.2. Physical Boundaries
- No physical contact is permitted between practitioners and parents.
- Practitioners may use supportive touch with children when developmentally appropriate, in line with CIPPO’s child safeguarding guidelines.
5.3. Respectful Engagement
- Please communicate with your practitioner respectfully and professionally.
- If you have concerns or feedback, we encourage you to reach out directly to CIPPO’s team for follow-up and support.
5.4. Preparedness & Supervision
- Ensure your child is ready and appropriately dressed for the session (especially for movement-based or sensory activities).
- Practitioners are not responsible for supervising children outside the scheduled session time, nor for managing siblings or household logistics.
